Auto Policy Creation
As an Agency Administrator, you can now access the Auto Policy Creation page, which simplifies policy management through automation!
Key Points
Immediate Efficiency: Once enabled, new policies will be created automatically, reducing the need for manual syncing on the Contact page.
Flexibility: You have full control to toggle this feature on or off as needed directly from the Auto Policy Creation page.
This feature is designed to provide a seamless integration of new policies into AgencyRoot, ensuring that your agency remains up to date with minimal effort.
How It Works
Manage Tags can be accessed from the Agency Admin screen.
Enabling Auto Policy Creation: To enable this feature, navigate to the Auto Policy Creation page and use the straightforward toggle option. Once enabled, our system will automatically create policies based on the M13 PASS data received from your AIPs. This means less manual work for you and a more efficient policy creation process.
Please note that the initial sync may take up to 24 hours to complete.
Disabling Auto Policy Creation: If you decide that automatic policy creation is not suitable for your current needs, you can easily disable this feature using the same toggle. Disabling it will pause the automatic creation of new policies. However, you can re-enable it anytime, resuming the process with the next M13 file received.
Policies created while the Auto Policy Creation process is enabled will not be deleted or otherwise removed if the option is disabled.
Auto Policy Creation Enabled
Agent syncs Contacts using the Data Sync page.
M13 PASS data is received from AIP(s).
New policies are added from the M13 PASS data when:
The Contact exists in AgencyRoot (has been synced), and the Tax ID matches the policy M13 data.
The following data from the M13 data matches the data used to sync the Contact:
AIP Code
Reinsurance Year
A policy with the same AIP Code, Reinsurance Year, Policy Number, and Policy Type does not already exist.
Warning: Duplicate policies may be created if your agency manually creates and/or modifies policies in AgencyRoot, and these four criteria do not match the policy record from the AIP.
Example #1: If the agent manually creates a policy shell and assigns a policy number that does not match the policy number that comes from the AIP, the automated process will create a duplicate policy.
Example #2: If the agent manually changes the policy type from MPCI to PRF, the automated process will create a duplicate policy.
If the Auto Policy Creation process is unable to add the policy automatically, the policy will need to be added manually using the “green box” on the ‘Policies’ tab for the Contact.
Auto Policy Creation Disabled
Agent syncs Contacts using the Data Sync page.
