Workflows

AgencyRoot Workflows give your agency the power to define and track the processes that help make you successful. Map out your new policy checklist or the steps needed for acreage reporting. Apply a workflow to a policy or contact and track the progress to ensure nothing is forgotten.


Workflow Types

  • Any

    A general workflow that can be applied to a policy or a contact.

  • Policy

    This workflow type can only be applied to policies. The items of this workflow outline the tasks that should be completed for a policy. Some examples might include application-related or claim-related workflows that happen “one per policy”.

  • Contact

    This workflow type can be applied to any contact type or entity. Create a contact workflow to help with your onboarding process for new customers, a prospecting workflow, or any other workflows that happen “one per customer”.


Managing Workflows

To add/edit a workflow go to Agency Admin > Workflows. This will list all workflows by name and type. To create a new workflow click the Add Workflow button. Next, give your new workflow a name and select a workflow type.

After saving the workflow it will appear in the list. Select your new workflow, but before you give a workflow item a name or description start by identifying how many steps there are in the process and add an item for each step. Then, provide the item name and a description. When you are finished, save the workflow.

Next to each workflow is a dropdown menu, where you can edit the workflow, the workflow items, or delete the entire workflow.

Using Workflows

On an individual Contact or Policy page, the Workflows Tab will provide a list of all workflows that have been added. For a given workflow, each item will appear as a gray box within the progress bar. When an item is complete it will change color and a tooltip will give you a quick look at when it was completed.


Marking a step N/A

If you are currently competing steps within a Workflow and you get to one that can be skipped or no longer applies to the process, you now can mark that step as N/A. That step will appear in a lighter green shade on your Workflow progress bar.

If that step needs to now apply you can simply click the eye icon box and it will remove the N/A status and give you the opportunity to check the step as completed.

 

Creating a Task from a step

You now have the ability to create a Task from any step within a Workflow. Select the + icon under the Task column and input your task notes – assign to the appropriate action taker.


Workflows Dashboard

This dashboard will provide you with a view of all workflows that have been applied to a contract or policy. Use the filter tower to help you find a specific set of workflows that you wish to work on.
